The maximum patient count feature allows staff to set a limit to the number of active patients allowed to book a time slot before the system temporarily closes curbside check-in. Once the maximum patient count is reached, the system will automatically “pause.” The staff can create a localizable “pause” message that the patients will see once the queue hits the maximum patient count.
There are two parameters that control the maximum patient count: 'Patient Count Type' and 'Maximum Count':
Patient Count Type
Patient count type determines which type of patient will be counted towards the total count of patients in the queue. The three options are: (1) All Active Patients, (2) Patient's in the New Queue, (3) All Active Today.
All Active Patients- This will count all patients that are active in your queue. This excludes patients in the last column i.e. DIspositioned/Discharged column, next-day patients, and online patients that have not 'arrived' to the facility i.e. Online-Home. This DOES include patients that are still active in your queue from yesterday. If you are 24x7 facility, it is likely that this is the best setting for you.
Patient's in the New Queue- This will count all active patients in the first column i.e. the "New" patient column. This excludes patients in all other columns, next-day patients, and online patients that have not 'arrived' to the facility i.e. Online-Home.
All Active Today- This will count all active patients in the queue that have a time slot for today. This excludes patients that are still active and had an appointment yesterday. This excludes patients in the last column i.e. DIspositioned/Discharged column, next-day patients, and online patients that have not 'arrived' to the facility i.e. Online-Home.
Maximum Count
The maximum count sets the ceiling for the maximum count of patients that can be in your queue at once. If the patient count meets the maximum count, then the walk-in form will be temporarily closed until the patient count decreases. The criteria for the count are configured by the patient count type (above). The maximum count can be set to equal <30, 40, 50, 60, 70, 80, 90, 100>.
When the maximum count is met, the patients are no longer able to book and are shown a message. Here is the default message, although it can be localized to fit your needs:
Below are some short instructions on how to edit the maximum capacity feature:
Step 1: Click on ‘Patient Queue Settings’ under the ‘Online/Walk-in Module’ on the left sidebar menu
Step 2: Click on the ‘Maximum Patient Count’ dropdown at the bottom of the page. Click on the arrow on the right to show the parameters.
Step 3: Click on the ‘Patient Count Type’ picklist and choose a count type. To learn more about what 'Patient Count Type' is and which one you should use, please read this section: Patient Count Type.
Step 4: Click on the pencil icon to set the maximum count of reservations in the queue before the system prevents patients from signing in via curbside. Press 'Save'. Read the section above to learn more about maximum count: Maximum Count.
Step 5: In the sidebar, click on ‘Localized Settings’ to localize the patient-facing message that is displayed once maximum capacity is reached.
Step 6: Double-click on Localized ID 55 to open the modal and localize the template.
Step 7: After you double-click on the ID, a modal will pop-up. Make sure you toggle to ‘Custom', in the top right corner, to edit the content. The message has a 500 character limit.
Step 8: Once you edit the message, click the ‘Save’ button.
