Patient Count Tags and Place in Line Enhancements

The new Patient Count Tags and Place in Line enhancements help both patients and staff stay informed about patient flow. Here’s a user-friendly guide to understanding these features based on your facility type (24/7 or non-24/7).

 

1. Patient Count Overview

Patient Count Tags display the number of patients at different stages of the queue to estimate waiting time.

PATIENT_COUNT_STATUS_ACTIVE: Displays all active patients waiting in the queue (New, Ready for Room (RFR), or In Treatment). Used for non-24/7 sites.

Example: Patient_count_status_active = 8 (active patients on the board).

 

PATIENT_COUNT_STATUS_NEW: Displays the number of patients waiting in the “New Queue” (column 1 of the Patient Queue page). Used for 24/7 and non-24/7 sites.

Example: Patient_count_status_new = 4 (patients in the new queue).

 

PATIENT_COUNT_STATUS_ACTIVE_ALL: Shows all active patients, including those waiting at home and from previous days, in the New, RFR, or In Treatment stages. Used for 24/7 sites.

Example: Patient_count_status_active_all = 8. (patients on the board).

 

2. Place in Line

The Place in Line feature tells patients how many others are ahead of them in the queue. This number changes as patients are moved through the queues.

  • How It's Determined: The count depends on the number of patients who were added before the current patient. When manual sort is used, if a patient with a higher priority enters, then that patient may move ahead in line.

Key Points:

  • The Patient Count feature helps track how many patients are waiting in different queues, which provides an estimate of how long until a patient is seen.
  • The Place in Line feature shows a patient’s position in the queue, which is updated based on factors like submission time and visit type priority.
  • Custom sorting may apply to reorder the queue based on specific needs.

3. Place in Line for 24/7 Facilities

In 24/7 facilities, manual sorting methods can apply (patient count includes online patients and active cases from yesterday). Here's how the system works:

No Manual Sort (Time Order)

  • In Treatment: Any patients with an earlier reservation time and In Treatment.
  • Ready for Room (RFR): Patients In Treatment and any patients with an earlier reservation time in RFR.
  • New Queue: All patients in In Treatment, RFR, and patient with an earlier reservation time in the New Queue.

Example:

    • Roman Garrison: 7 patients ahead
    • Fifi Jones: 6 patients ahead
    • Moonshine Black: 5 patients ahead
    • Calypso Jeffers: 4 patients ahead
    • Rover Blu: 3 patients ahead
    • Bubbles Sunshine: 2 patients ahead
    • Blackie Smithe: 1 patient ahead
    • Butch Test: 0 patients ahead

Custom Manual Sort

This allows specific sorting based on a facility's workflow.

  • In Treatment: Any patients with an earlier reservation time and In Treatment.
  • Ready for Room (RFR): Patients In Treatment and any patients with an earlier reservation time in RFR.
  • New Queue: All patients in In Treatment, RFR, and sorted patients ahead of you. If no order is  assigned (See 1 and 2)  then earlier reservation times (2;00 and  2:05) will be addressed in time order.

Example:

  • Roman Garrison: 7 patients ahead
  • Fifi Jones: 6 patients ahead
  • Calypso Jeffers: 5 patients ahead
  • Moonshine Black: 4 patients ahead
  • Rover Blu: 3 patients ahead
  • Bubbles Sunshine: 2 patients ahead
  • Blackie Smithe: 1 patient ahead
  • Butch Test: 0 patients ahead

Visit Type Sort

Patients with higher-priority visit types will be placed higher in the queue, regardless of their check-in time.

  • In Treatment: Any patients with an earlier reservation time and In Treatment.
  • Ready for Room (RFR): Patients In Treatment and any patients with an earlier reservation time in RFR.
  • New Queue: All patients in In Treatment, RFR, and all visit types sorted ahead of you. If matching or no visit type is assigned, then earlier reservation times will be addressed in time order. 

Example:

  • Fifi Jones: 7 patients ahead
  • Moonshine Black: 6 patients ahead
  • Calypso Jeffers: 5 patients ahead
  • Roman Garrison: 4 patients ahead
  • Rover Blu: 3 patients ahead

4. Place in Line for Non-24/7 Facilities

For non-24/7 facilities, the system uses a simpler approach, often without manual sorting. The queue follows the submission order.

No Manual Sort (Time Order)

  • In Treatment: Any patients with an earlier reservation time and In Treatment.
  • Ready for Room (RFR): Patients In Treatment and any patients with an earlier reservation time in RFR.
  • New Queue: All patients in In Treatment, RFR, and and patient with an earlier reservation time in the New Queue.

In this scenario, patients can check their place in line based on only the first two columns (New Queue and RFR). *Please note patient counts at 24/7 sites will include online and active cases from the previous day.

  • New Queue: All patients in RFR and patient with an earlier reservation time in the New Queue.
