  1. Schedule Meeting for Super User and Site Admin Training

During our meeting we will review your workflow and application customizations, teach you how to manage user accounts, run reports, and edit schedule templates, and develop your staff training plan.

  2. Review Options for Staff Alerts

Details
Review our staff alert options below and determine how the ER Express application will automatically alert your staff of incoming Online Reservations.
Are you happy with the alerts you currently have in place? You can move on to Item #3 below and we'll configure your alerts to match what you currently use.
Do you want to make a change or are you unsure what your team currently uses? Your implementation manager can review this item with you during the Super User and Site Admin meeting you scheduled above.

  3. Review Requirements for Acuity Safeguard

Details
This is a great time to review your custom Acuity Safeguard settings - your list of key words and phrases used to block or flag incoming reservations. If you aren't sure what you currently block or flag, your Implementation Manager can provide you with your list.

 4. Review Options for Patient Feedback Surveys

Details
The new ER Express application includes a handful of enhancements to Patient Feedback Survey functionality. Whether you are currently using our text survey feature, or you are interested in turning this feature on for the first time, we recommend that you read the documentation below to learn more about what is available to you.

 5.  Schedule & Host End User Training Sessions

Details
To ensure a seamless transition to our new application, you will need to retrain/reeducate your team to view and interact with patient information, edit schedule templates, and more.
We recommend a “Train the Trainer” approach supplemented with our extensive digital library of ‘How To’ articles, in-app guided tutorials, and supplemental training videos.
Timeline
We recommend that you host training sessions 1-2 weeks prior to go-live.

  6. Review & Provision End User Credentials

Details
Your team will access the upgraded ER Express application through a new URL with new usernames and passwords. For security reasons, you (or someone on your team) will be responsible for user account provisioning in the ER Express application.
Read the documentation below to learn more about access privileges and username/password requirements.
Timeline
We recommend that you create end user accounts prior to staff training sessions, 1-2 weeks before go-live.

  7. Schedule Meeting for Final Workflow Testing

Agenda
Quickly test patient workflow with mock patient reservations, confirm alerts are functioning properly, and confirm staff can easily access ER Express Control Panel.

  8. Create Schedule Template for New Application

Details
Choose which times to offer patients for online reservations, set open & close hours, and create special holiday hours.

  9. Retire Schedule Template for Old Application

Details
You will need to deactivate online check-in time slots in the old ER Express Control Panel prior to your migration go-live.
We recommend removing all future time slots two days prior to go live. For example, if your go-live is set for Wednesday, you should login to the old ER Express Control Panel on Monday to remove all timeslots.
